How To Follow Up From an Event

The event is over. PHEW! Everything is done and there’s nothing left to worry about, right? WRONG. After an event you should absolutely follow up, with your clients and with your books to make sure everything is in order.

CLIENT FOLLOW UP

It is so important to send an email the day after the event. Hayley Newby suggests that if the event was virtual, send a recording. If the event was in person, send a recap of the events. If you didn’t hand out a survey at the event (also a great idea!) then you should include this in your email as well. A handwritten “thank you” note is always appreciated as well. Angela York adds that if the client brought a guest with him or her, be sure to mention and thank your client for bringing them. A handwritten note is a great way to sustain that personal connection.

EVENT FOLLOW UP

Our ringleader Kalli Fedusenko has a few great pointers on how to follow up from the event itself. First off, make sure all of your receipts from vendors or hired personnel are in order. Also check back with your sponsor, giving them what they need so you can get that helpful sponsorship check. 

Next up in the ring is remembering to save your photos from events. Give them to the person who is designated to save them digitally. While shooting the photos of your event, include pictures of the room so you can remember the set up you’ve had for when you plan your next event. Pictures are also a great way to remember what you’ve done in the past, whether they be the layout or the decorations.

Updating your website is a great way to show off how well the event went. Let it be a recap of the event, and include those handy dandy pictures. This can inspire excitement for your clients, whether it be to reminisce on the great time they had or to get them wanting more events like it. Or why not both?! 

Always keep record of your email or printed invitations. This way, you can either copy the same layout, even if it’s not the same design or, if you want the same design, you remember which one you used for this type of event.
